This organization has grown to become one of the largest public teaching hospitals in the state of Victoria, serving a diverse population across Melbourne's northern suburbs and beyond.

The business problem revolved around transitioning from the legacy Chris21 system to SAP and integrating SAP person data, accrual data, and payroll export functionalities into UKG Pro WFM. This complex challenge necessitated Smart WFM's assistance to ensure a seamless migration process and effective integration, thus optimizing workforce management capabilities within the new system architecture.

 

The Technical Solution

The Projects

The client embarked on a project to integrate SAP (EC and ECP) with UKG Pro Workforce Management (WFM) to achieve their objectives. The integration aimed to synchronize employee data, such as personal information, job roles, and work schedules, between the two systems. This would enable the organization to manage workforce-related activities more effectively, including time and attendance tracking, scheduling, payroll processing, and compliance reporting.

 

The integration project involved:

 

  • Data Mapping: The team mapped the data fields between SAP and UKG Pro WFM to ensure accurate synchronization of employee information.
  • Integration: Utilizing APIs provided by UKG Pro WFM, the team developed custom integrations to facilitate seamless data exchange between UKG Pro WFM and SAP systems.
  • Configuration and Testing: The integration workflows were configured and thoroughly tested to validate data accuracy, system reliability, and compliance with regulatory requirements.
  • Deployment and Training: Upon successful testing, the integrated solution was deployed to the customer tenant, and relevant system admins were trained on its usage and functionality.

The integration between SAP and UKG Pro WFM leveraged modern integration technologies, including:

 

  • SAP Employee Central and Employee Central Payroll: A cloud-based human capital management (HCM) platform that provides comprehensive HR solutions, including talent management, payroll, and workforce planning.
  • UKG Pro WFM (previously called as Workforce Dimensions): A cloud-based workforce management platform that offers time and attendance tracking, award interpretation, scheduling, and payroll functionalities.
  • Integration Platform (Boomi): The integration utilized middleware platforms or integration tools to facilitate seamless communication between SAP and UKG Pro WFM, ensuring data consistency and reliability.

 

Overall, the integration of data from SAP SF with UKG Pro WFM enabled the healthcare organization to optimize workforce management processes, improve operational efficiency, and enhance employee satisfaction, ultimately leading to better patient care outcomes.
